Privacy Policy

This policy explains how we collect, use, protect, disclose and manage information when you use the Global Alumni Network mobile application and the UEW Alumni platform.

Privacy commitment We collect only information reasonably required to provide, secure, administer and improve the alumni network and its related services.

1. Scope of this policy

This Privacy Policy applies to the Global Alumni Network Android application, the website available at https://uewalumni.com/ , and related alumni services operated by Jhuxtello iTech.

By creating an account or using the platform, you acknowledge that your information will be handled as described in this policy.

2. Information we may collect

2.1 Account and profile information

When you register, complete your profile or update your account, we may collect:

  • Full name and username.
  • Email address and telephone number.
  • Password in securely protected form.
  • Profile photograph.
  • Gender, date of birth or age group, where provided.
  • Residential location, town, region or country.
  • Alumni information such as institution, programme, department, graduation year, hall, class or membership details.
  • Employment, occupation, professional skills, interests and business information that you voluntarily add to your profile.

2.2 Content and interactions

We may process information you submit through the platform, including:

  • Posts, comments, reactions and messages.
  • Images, flyers, documents and other uploaded files.
  • Event registrations and participation details.
  • Support enquiries and feedback.
  • Membership, contribution or dues information, where those services are available.

2.3 Technical and usage information

When you access the service, our servers and service providers may automatically process:

  • Internet Protocol address.
  • Browser, operating system and device type.
  • Login date, access time and session information.
  • Pages, features and links accessed.
  • Error, security and diagnostic logs.
  • Approximate location inferred from an IP address, where available.

2.4 Information not intentionally collected

The application does not intentionally collect your contact list, call history, SMS content, precise device location, microphone recordings or continuous camera data unless a future feature clearly requests such access and you grant permission.

3. How we use information

Information may be used to:

  • Create and maintain your account.
  • Authenticate users and secure login sessions.
  • Display and manage alumni profiles.
  • Enable networking, posts, comments, events, opportunities and alumni communication.
  • Process membership dues, payments or event registrations where applicable.
  • Send account, service, verification, security and administrative notifications.
  • Respond to enquiries and support requests.
  • Prevent fraud, abuse and unauthorised access.
  • Diagnose errors and improve the reliability, performance and usability of the service.
  • Comply with legal and regulatory obligations.

5. How information may be shared

We do not sell your personal information.

Information may be shared in the following limited circumstances:

Other platform users Profile details and content you choose to make visible may be viewed by other registered users or the public, depending on the feature and your privacy settings.
Service providers Hosting, email, messaging, analytics, security, technical support and payment providers may process limited information required to deliver their services.
Alumni administrators Authorised administrators may access information where necessary to verify membership, moderate content, provide support or administer the platform.
Legal requirements Information may be disclosed where reasonably required by law, court order, lawful government request, fraud investigation or protection of users and the platform.
Business changes Information may be transferred as part of a merger, restructuring or transfer of the service, subject to appropriate privacy safeguards.

6. Payments and transaction information

Where the platform supports dues, membership payments, donations, event payments or related transactions, payments may be handled by an independent payment service provider.

We may receive transaction references, payment status, amount, date and limited payer information needed to confirm and reconcile a payment. We do not intentionally store full bank-card numbers, card PINs or security codes on our platform.

Payment providers process payment information according to their own privacy and security terms.

7. Device access and permissions

The mobile application is primarily a secure mobile interface for the alumni website. Depending on the action you choose, the application may:

  • Access the internet to load the platform and synchronise account information.
  • Open the device file picker when you choose to upload a profile photo, flyer or document.
  • Open external applications for telephone, email, SMS, WhatsApp, maps or other supported links.

Selecting a file gives the application access only to the file or files you choose through the device picker. You may cancel the picker without selecting anything.

8. Cookies and login sessions

The website and mobile application may use cookies, session identifiers and similar technologies to:

  • Keep you signed in.
  • Maintain secure sessions.
  • Remember preferences.
  • Prevent fraudulent requests.
  • Understand and improve service performance.

Disabling essential cookies may prevent registration, login and other core features from working correctly.

9. Information security

We use reasonable administrative, technical and organisational safeguards designed to protect information against unauthorised access, alteration, loss, disclosure or destruction.

These safeguards may include encrypted HTTPS connections, password hashing, controlled administrative access, session protection, backups, logging and software maintenance.

No website, application, database or internet transmission can be guaranteed to be completely secure. Users should use a strong password, protect their login credentials and sign out of shared devices.

10. Data retention

We retain personal information only for as long as reasonably necessary to:

  • Operate your account and provide the service.
  • Resolve disputes and respond to support requests.
  • Maintain security and prevent fraud or abuse.
  • Meet accounting, legal, contractual and regulatory obligations.

When information is no longer required, it may be deleted, anonymised or securely isolated until deletion from backup systems according to our backup cycle.

Certain transaction, audit, fraud-prevention or legal records may be retained after account deletion where reasonably required by law or legitimate security obligations. Such retained information will not be used to continue the deleted account.

11. Account and data deletion

You may request permanent deletion of your Global Alumni Network account and the personal data associated with it.

We may need to verify that you own the account before completing deletion. Once verified, the account and associated data will be deleted unless specific records must be retained for legal, security, fraud-prevention or financial-record obligations.

Deleting the mobile application from your device does not automatically delete your account.

12. Your privacy choices and rights

Subject to applicable law and verification of your identity, you may request to:

  • Access information associated with your account.
  • Correct inaccurate or incomplete information.
  • Delete your account and associated information.
  • Withdraw consent where processing relies on consent.
  • Object to or restrict certain processing activities.
  • Receive an explanation of how your information is handled.

13. Children’s privacy

The platform is intended for alumni, authorised members and other eligible users. It is not designed for unsupervised use by children below the minimum age required to independently consent to online services under applicable law.

Where we learn that information from an ineligible child has been submitted without appropriate authorisation, we will take reasonable steps to remove it.

15. Changes to this policy

We may update this policy when the platform, applicable requirements or our information practices change. Updates will be published on this page with a revised “Last updated” date.

Where a change materially affects users, we may also provide notice through the platform or another appropriate communication channel.
